How do I manage contacts?

Find people, add one contact, and run bulk actions from the Contacts table.

3 min read

Open Contacts, then All contacts. Search uses email addresses. Filters can narrow the table by list, suppression state, reply state, or verification verdict.

  1. Select Add a contact.
  2. Enter the Email address.
  3. Add First name, Last name, or another field if you need it.
  4. Select Add contact.

If the address already exists, ColdMerge offers Open that contact instead of creating a duplicate.

  1. Open Contacts, then All contacts.
  2. Select Export contacts.
  3. Save contacts.csv when your browser offers the download.

The CSV contains every contact in the active Organization, regardless of the table’s filters or current page. It includes email addresses and custom fields. It does not include lists, campaigns, send or reply history, or the suppression list. Cells that could run as spreadsheet formulas are protected with a leading apostrophe.

If the download fails, use Retry in the error notice.

  1. Tick a row, or select everyone on the current page.
  2. Use the action bar that appears.
  3. Confirm the action.

You can select at most 1,000 contacts at once. To work through more, narrow the filters and handle one set at a time.

Action Result
Add to list… Adds the selection to an existing list
Create list from these Creates a list and opens it
Remove from list… Removes list membership only
Suppress Stops every future send and import to those addresses
Delete Deletes contacts with no message history and keeps the rest
  1. Select the contacts.
  2. Open Add to list… and choose a list.
  3. Select Add them.

If that list feeds a live campaign with Auto-sync on, the new contacts can start receiving it immediately. The confirmation names affected campaigns and shows how many selected contacts could enroll. Review those campaigns before selecting Add them. If the warning cannot load, select Retry campaign check. If the affected campaigns change before confirmation, nothing is added. Your selection stays open. Review the refreshed warning, then select Add them again.

  1. Select the contacts.
  2. Open Remove from list… and choose the list.
  3. Select Take them off.

This does not delete anyone. It also does not remove a person already queued in a campaign. Suppress the address when mail must stop now.

  1. Select the contacts.
  2. Select Suppress.
  3. Select Suppress them.

Every later send and import skips them. Only an Owner or Admin can remove a manual suppression. Unsubscribe and erasure suppressions cannot be removed.

When one person replies asking you to stop, open them and use Mark as opted out instead, so the suppression list records why.

  1. Select the contacts.
  2. Select Delete.
  3. Select Delete them.

ColdMerge keeps anyone with message history and reports how many it kept. To honor a deletion request, open the contact and use Erase contact instead.
