Contacts, lists & imports

How do I import contacts from a file?

Upload a file, map its columns, choose a list, and apply the import.

Open Contacts, then Imports. The wizard has four steps: Upload, Map, Apply, and Done. Nothing changes until you select Apply import.

Uploading and mapping require a computer. A started import is saved, so you can leave and return.

  1. Drop a file onto Drop a CSV here, or click to choose. To paste spreadsheet rows instead, open Paste rows. The selected file shows a tinted outline, file icon, and size. Click it to replace it, or choose Remove. Expand File limits for size and row limits.
  2. Leave Separator on Detect automatically, unless you know it is wrong.
  3. Select Read the rows.

ColdMerge stages the rows and shows a preview. It has not changed your contacts.

See the file-format reference for accepted files, limits, and refusals.

  1. Leave First row contains column names on when the first row is a heading.
  2. Check the Email column.
  3. Name each field you want to import. Clear a name to skip that column.
  4. Choose a List, or choose Create a new list… and enter Name it.
  5. Select Save mapping.

ColdMerge proposes firstName and lastName for common headings. An existing Organization field keeps its current spelling. The email column is the contact’s identity, so it is not stored as a custom field.

  1. Read Import these contacts and check the row count.
  2. If This list already feeds a live campaign appears, confirm that you chose the right list. New contacts can enter those campaigns immediately.
  3. Select Apply import.

This is the first step that writes contacts.

The Importing panel shows progress. You can leave the page; the import keeps running. Open Contacts, then Imports to find it again.

When it finishes, continue to import results and history.

If you uploaded the wrong file, see undo an import.

To move an opt-out file, use a suppression import.

Extract addresses from text

This free tool runs in your browser without an account. Inputs stay in the tab until you clear the form or leave the page.

  1. Paste copied contact text into Text containing email addresses.
  2. Choose Output order, then Extract addresses.
  3. Review the matches and duplicates removed. Use Copy addresses or Download .txt to preserve addresses exactly.
  4. Use Download .csv for a spreadsheet, then review the file before importing.

Matches ignore letter case and preserve the first spelling. Plus tags and dots remain distinct. Only unquoted ASCII addresses are supported. CSV protects formula-like cells with a leading apostrophe. TXT keeps exact values. Extraction does not verify mailboxes.

Explore address patterns

This free tool runs in your browser without an account. Inputs stay in the tab until you clear the form or leave the page.

  1. Enter First name, Last name and Company domain. Add Middle name (optional) if you have it.
  2. Choose Generate patterns and review the normalized name and unique guesses.
  3. Open View the patterns used to see how each candidate was formed. Copy or download the list for review.

Names become lowercase with accents and separators removed. Use a Latin-letter spelling for other scripts. No mailbox is discovered or verified, and no message is sent. Confirm the correct address before adding it to a campaign.
