How do I edit or remove one contact?
Edit merge fields, review sent messages, or delete and erase one contact.

Select a contact from Contacts to open their page. On a computer, the contacts table shows Name from the first and last name fields, and Lists with up to two list names and a count of any others. Missing values show –. These columns are hidden on a phone.
Suppressed contacts show Suppressed and the reason. Campaigns do not send to them. The same badge appears beside suppressed contacts on a list.
Edit fields
Section titled “Edit fields”- Edit First name and Last name if needed.
- Select Add another field for a company, title, city, or other value.
- Select Save fields.
Reset restores the last saved values. Use a field in a message as
{{fieldName}}. The spelling and capitalization must match.
| Limit | Value |
|---|---|
| Field-name length | 120 characters |
| Field-value length in this editor | 1,000 characters |
| Fields on one contact | 250 |
ColdMerge refuses a value without a field name, duplicate field names, and an
extra field named firstName or lastName.
Review sent messages
Section titled “Review sent messages”Sent to this contact lists the subject, status, sending mailbox, campaign, and attempt time for each message. ColdMerge does not store message bodies. Open the message in Gmail to read the content.
Mark a contact as opted out
Section titled “Mark a contact as opted out”When someone replies asking you to stop, select Mark as opted out and confirm. They are added to the suppression list and their waiting follow-ups end. See Mark someone as opted out.
Delete a contact
Section titled “Delete a contact”Use delete for a duplicate, typo, or test contact you have never emailed.
- Select Delete contact.
- Select Delete contact again to confirm.
Delete removes the contact and fields. It adds nothing to the suppression list. Any role can delete, but ColdMerge refuses when the contact has message history.
Erase a contact
Section titled “Erase a contact”Use erase when someone asks you to delete their data.
- Select Erase contact.
- Select Erase permanently.
Only an Owner or Admin can erase. Erase permanently removes the person’s fields, history, replies, tracking, verification result, and staged import rows. It keeps only a one-way address hash so future imports cannot recreate them. It cannot be undone.
See delete versus erase for the full comparison.
