Change your preferences
Section titled “Change your preferences”- Go to Settings > Notifications.
- Choose a reply option and turn the optional email switches on or off.
- Choose Save preferences.
Reset appears while you have unsaved changes and restores the saved values.
Reply alerts
Section titled “Reply alerts”| Choice | What happens |
|---|---|
| Email, one per reply | ColdMerge emails you when each campaign reply lands. |
| Email, daily digest | ColdMerge sends one daily summary of replies. |
| Bell only | Reply alerts appear only in the in-app bell. |
The reply itself still arrives in the Gmail inbox that sent the campaign.
Optional emails
Section titled “Optional emails”| Switch | What it controls |
|---|---|
| Weekly summary | A weekly campaign summary, skipped when the week is quiet. |
| Tips and advice | Setup and campaign tips, mostly during the trial. |
| Product news | Product updates and occasional offers. |
| Routine updates | Useful notes when something finishes or returns to normal. Nothing needs your attention. |
Optional emails also contain a link to turn off that type without signing in. You can turn it back on from Settings > Notifications.
Marking a ColdMerge email as spam turns off optional emails, including reply emails, across your Organizations. It also blocks all ColdMerge email to that address. Clearing that delivery block does not turn optional preferences back on.
Weekly summary
Section titled “Weekly summary”Every verified Member can receive their Organization’s campaign summary on Thursday, between 08:00 and 18:59 in their own timezone. It covers the previous local Monday through Sunday. ColdMerge uses your timezone, then the Organization’s sending-window timezone, then UTC.
A week with no accepted campaign emails gets no summary. Hand-composed messages and queued work do not qualify. The summary shows reply rate and non-zero supporting outcomes. If sends cannot all be matched to conversations, it shows send volume and explains that reply and bounce rates are unavailable.
Turn off Weekly summary to stop only these emails. The summary’s unsubscribe link makes the same change. Explore analytics opens Analytics; its dates and metric scope can differ from the summary. Missed summaries are not sent after Thursday’s window.
Routine updates
Section titled “Routine updates”Routine updates go to the Organization owner when a mailbox reconnects or a campaign finishes. Their Email preferences link opens a page where you can save your choice. Turning them back on does not release updates from before you changed the switch. Updates expire after 24 hours. They arrive after you have been away from the app for 15 minutes, without waiting for a particular local hour.
Review operational alerts
Section titled “Review operational alerts”Open the notification bell and choose Review operational alerts. The Notifications page keeps each alert, when it happened, its current status, and a Review link. Use Older to find earlier alerts. Alerts remain here when several are combined into one email. Reply notifications remain in the bell.
If the page cannot refresh, it shows Notifications are unavailable. instead of outdated statuses. Select Try again to reload the current page of alerts.
ColdMerge sends up to four ordinary operational alerts per Organization in a rolling hour. Further alerts are grouped into a More things need your attention email, with a link to this page. A disconnected mailbox, a stopped campaign, and exhausted verification credits stay separate from this limit. The same alert for the same resource has a 24-hour cooldown. A still-disconnected mailbox gets a separate reminder after 24 hours.
| Alert | What to review |
|---|---|
| Mailbox disconnected or still disconnected | Reconnect it in mailbox settings, or remove it if the disconnect was intentional. |
| Campaign paused or bounce rate rising | Open the campaign and review its list before resuming. |
| Verification credits low or empty | Open Verification, then Buy credits. Campaigns keep sending; credits are used for list checking. |
| Import failed | Review the import’s outcome counts before uploading again. Committed changes remain. |
| Sending-domain check regressed | Open the domain settings to see which SPF, DKIM, or DMARC record needs attention. |
| Tracking links stopped working | Check the tracking domain’s DNS and certificate. Campaign mail still sends. |
Emails that are always on
Section titled “Emails that are always on”These rows show Always on because they have no switch:
- Billing and your account, for payments, renewals, security, and required account notices.
- Something has broken, for a disconnected mailbox or an automatic campaign pause.
- In-app bell, for replies and app alerts.
Changing reply or marketing preferences does not stop billing, security, or service-failure notices. Stripe sends receipts for successful payments and refunds.
A Delivery block prevents mail to an address that bounced permanently or reported a complaint. A refused attempt does not count as a successful alert or summary.
ColdMerge also emails the Organization owner when:
- a plan is set to end, with the end date and a link to keep it;
- a plan returns after a lapse, whether or not a campaign remains held for review; or
- a bank needs an extra confirmation before a payment can finish.
The bank-confirmation button opens Stripe’s hosted Invoice page. ColdMerge sends it only while the plan is in good standing with no payment-failure episode, and checks that the Invoice is still open, belongs to the current subscription, and the payment still needs action before sending.
